No Show Policy
The No-Show Policy as approved at the General Assembly dated September 25th, 2019
A no-show is defined as the case that a regular member has registered for an activity* organized by SVTN “J.D. van der Waals” and is not present without any form of notification sent to the board or the organizing committee 24 hours before the start of the activity. Cases in which the participant has subscribed for the activity less than 24 hours before the start of the activity are excluded from the no-show policy. In that case, the no-show policy does not apply. In the case of a no-show, the member whom it concerns is not allowed to attend the next three recreational activities.** These three recreational activities cannot be open for registration yet, or must not have registration at all, and must take place within four weeks from the no-show.*** If this is not possible, the member whom it concerns is not allowed to attend the first recreational activity which is not open for registration, or has no registration at all, outside those four weeks. These activities will be determined by the board. The person in question will be put on a blacklist for these activities.
The board has to ensure that:
- Every member that has registered for an activity will receive at least one confirmation before the final registration and deregistration date.
- When registering for an activity, it will be clear how and with whom the member could deregister.
- Every member of the board is informed who is currently on the black list. This way the policy can be properly executed.
First year members of SVTN “J.D. van der Waals” are excluded from this policy. For these members, a ‘two strikes and you’re out system’ is implemented. This means that for a member who is in his/her first year one no-show will be condoned. For all no-shows after that, the policy described above will be upheld.
All members must pay the activity contribution in case of a no-show.
The no-show policy does not apply for cancellations with a valid reason. What is a valid reason is to be decided by the board.
The board will always have the right to differ from the policy above for special cases.
*Concerns all activities for which a member is able to register.
